Location: Newtown, PA (on-site)

Type: Full-time

Hours: Monday–Friday, 8:00 AM – 4:00 PM

Reports to: Shop Manager

Burns Auto Repair is a long-standing, family-owned auto repair shop serving the Newtown, PA community since 1957. We're known for honest diagnostics, dependable maintenance, and quality repair work across a wide range of vehicle needs. Our ASE-certified mechanics and friendly support team focus on transparent communication and safety for every customer. About the Role

The Office Administrator is the front line of our shop and the primary point of contact for our customers. Most of your day is spent answering phone calls, talking with customers, and keeping the front office running smoothly. You'll coordinate repair orders with our technicians, handle invoicing and payments, order parts, and make sure the office stays organized and efficient.

If you enjoy helping people, staying organized, and being the go-to person who keeps everything moving, this role is for you. You don't need to be an automotive expert — our systems and processes are set up so the right person can pick things up quickly.

What You'll Do

  • Answer incoming phone calls and serve as the primary point of contact for customers
  • Greet customers and communicate clearly about their vehicle service and repairs
  • Write up repair orders and coordinate them with technicians
  • Assemble invoices, process payments, and mark invoices for payment
  • Order parts and coordinate with vendors as needed
  • Maintain accurate records, files, and customer information
  • Keep office equipment and supplies organized and functional
  • Support clear communication between customers and the repair team
  • Provide light IT support and technical problem-solving around the office (a plus, not a requirement)

What We're Looking For

Required

  • Strong customer service and communication skills, with a friendly, professional phone presence
  • Very comfortable working on a computer and with common office software (email, spreadsheets, scheduling tools)
  • Experience with Microsoft Word and Excel
  • Attention to detail and basic math skills for invoicing, payment processing, and data entry
  • Ability to prioritize tasks, work in a fast-paced environment, and collaborate with a small team
  • High school diploma or equivalent

A Plus

  • Automotive experience or knowledge — or a genuine willingness to learn
  • Experience with Canva or other design tools
  • IT support or technical problem-solving ability
  • College degree, or additional training in office administration or business
